Leads
The Leads view lists every website visitor who left an email in the chat, with the question the widget couldn't answer. You can export them as a CSV file.
The widget asks for contact details only at a handoff: when the knowledge base doesn't cover a question, or when a visitor uses one of your escalation keywords. There is no form before the chat starts.
What the visitor sees
A card appears in the chat titled 'Where can we reach you?', with the line 'A colleague will pick this up and reply to you directly.' It has one 'Email' field and two buttons, 'Send it' and 'No thanks'. After a valid email, the card is replaced by 'Thank you. We will be in touch.'
- The card sits in the conversation, not in a pop-up, and the visitor can skip it.
- It appears at most once per page view.
- Once a visitor leaves an email, the widget doesn't ask again in that conversation.
- A visitor who clicked 'No thanks' can be asked again after a reload, at the next handoff.
- An address without a full domain, such as ada@example, gets 'That does not look like an email address.'
Reading the list
| Column | What it shows |
|---|---|
| 'Contact' | 'Visitor' with the email below it, and a badge with the reason, 'Handed to a person' or 'Out of hours'. Click the email to write to them |
| 'Their question' | A question from that chat that the knowledge base could not answer |
| 'Page' | The page where the conversation started |
| 'Captured' | The date the visitor left the email |
The count above the table, such as '12 contacts captured', covers all your leads. The table shows the 50 most recent, and the CSV export includes older ones.
'Out of hours' appears only when business hours are set for the widget. The Settings screen has no business-hours control, so leads from the chat show 'Handed to a person'.
Export to CSV
- Open Operations, then 'Website chat', then 'Leads'.
- Click 'Export CSV'.
- Your browser downloads a file named website-chat-leads- followed by today's date.
| CSV column | Contents |
|---|---|
| captured_at | Date and time the email was left |
| name | Empty for leads from the widget, which asks for an email only |
| The visitor's email | |
| phone | Empty for leads from the widget |
| question | The question the knowledge base could not answer |
| page | The page where the chat started |
| reason | handoff, or after_hours when business hours apply |
The export holds up to 5,000 of your newest leads. A cell that starts with =, +, - or @ gets a leading apostrophe, so a spreadsheet won't treat visitor text as a formula.
